For restaurants
Last updated: October 12, 2026 · Version 2026-10-12
This Restaurant Partner Agreement is between MedPlate LLC ("MedPlate") and the restaurant named in the online application ("you"). You sign it once, when you join. Individual bookings run on the one-page MedPlate Booking Terms plus your own listing and house rules — no per-event contracts, and no listing, setup or monthly fees.
At a glance: the fee is 15% of the food & beverage bill (a 5% booking-fee line on the host's bill + 10% from you; founding restaurants pay 8% for their first 6 months). You set the deposit and window. Connect your own Stripe and the deposit is a hold on the host's card in your account; you keep 100% of any no-show deposit, and MedPlate never holds it. No commitment — either side can leave with 30 days' email notice.
MedPlate runs getmedplate.com, where pharmaceutical and medical-device teams, meeting planners and event coordinators ("Hosts") find restaurants and book private dining. MedPlate introduces Hosts and handles the booking; it is not a party to the dinner and does not prepare or serve food or alcohol.
You keep your listing accurate and current — rooms, capacity, pricing or minimums, menu styles, deposit, cancellation window and house rules (for example headcount deadline, corkage, outside desserts, decor). MedPlate shows your house rules on every booking and the Host agrees to them before booking. You permit MedPlate to display your name, logo, photos and listing to promote you. MedPlate may pause or remove a listing that is inaccurate or causes poor Host experiences.
You'll get each request by email or text with a secure link. You agree to accept or decline within 24 hours. Once you accept, you honor the date, time, room, party size and pricing. If you ever must cancel, tell MedPlate right away and help the Host rebook.
You choose the deposit amount and a 48- or 72-hour cancellation window. MedPlate never holds deposit money. If you connect your own Stripe account, MedPlate places the deposit as a refundable hold on the Host's card in your Stripe account. It's released after the dinner or if the booking is cancelled in time, and captured only for a late cancel or no-show; the money goes straight to you, all of it. If you don't connect Stripe, the Host books without a card and agrees to your cancellation policy at booking; MedPlate records when, from where and the exact wording and gives you that record, and you collect any late-cancel or no-show fee directly. MedPlate never stores card numbers.
You charge the Host directly at the dinner on your own system and give them an itemized receipt (food, drinks, alcohol, tax, gratuity, headcount). You report the final bill through your MedPlate link within 24 hours. The fee is 15% of the food & beverage bill before tax and gratuity: a 5% "MedPlate booking fee" line you add to the Host's bill and pass to MedPlate, plus a 10% restaurant fee. Founding restaurants (those joining while the founding program is open) pay a restaurant fee of 8% for their first 6 months, then the standard rate. MedPlate charges it to the card or bank account you keep on file within 7 days of the bill being reported and emails you a receipt. MedPlate may lower your rate at any time; any increase needs your written OK.
For 12 months after MedPlate introduces a Host or their company to you, you won't move their bookings off MedPlate to avoid the fee; if you do, the fee still applies. Host contact details are confidential and used only for their bookings.
You're responsible for your food, drink, alcohol service, staff and premises, and you keep general liability insurance (at least $1,000,000) and liquor liability insurance where you serve alcohol. You won't give attendees anything of value outside the itemized bill. Neither the Host nor MedPlate personally indemnifies the restaurant; each side covers its own acts. MedPlate's total liability is limited to the fees it received from you in the prior 12 months, and neither side is liable for lost profits.
Either side may end this Agreement with 30 days' email notice; accepted bookings are still honored and earned fees remain due. North Carolina law applies. MedPlate may update these terms with 30 days' email notice (fee increases always need your consent). Accepting electronically is a binding signature; MedPlate records the time, account and IP address. Notices: legal@getmedplate.com and the email on your account.
